Project Planner Template

A project planner template is a document that explains the implementation and control stages of a project. The risk management, resource management, internal communication, total cost and baselines are considered the crucial elements of a project plan. Basically, it is used to outline the goals of the project, its objectives and tasks that are related to it and what will be the end result. Therefore, we can say that a project planner is used to organize, arrange, assign activities and find the resources throughout when the project is happening. You can use different types of project software to make project plans. A few of the other things that you should include in your project planner are a timeline, plans of how you will communicate, resources you will need to complete the project, such as cash, project management tools and freelancers.

What is the Importance of a Project Planner?

Sometimes the team of the project ends up doing way more than what was originally planned. This can be avoided by having a proper project planner to face any type of unexpected plans or to deal with the change of any circumstances. This planner helps you with finding the time when the problem occurs so in this way you are well prepared for your future projects. Moreover, it will have a positive impact on your project because you will need it while completing your project on time. The calculations of the budgeted cost should be accurate in such a way that the actual cost should not be more than your budgeted amount. A project planner template guides you in identifying all those issues which could cause trouble in the future.

How to Prepare a Project Planner?

There are no specific rules for preparing this plan but we should keep a few things in mind to include in our project plan. The following are a few of them:

Summary of your Project: you should start your project plan with a summary. In which key points of the project should be included and the purpose of it should be mentioned. Other things to include in the summary are to highlight the important parts of the project, the result that you are expecting, any conclusions and if you have any recommendations. A summary is usually written when you are done making the rest of the plan but it is included in the beginning. Keep in mind it shouldn’t be longer than a page.

The resources you have: It is also important to include in your project plan the resources that are available for it. Such as your team, time limit, total budget, technology you can use and any type of physical resources. You need to make sure you know what resources you need and make your plan according to that. One example that we can use here is by making a proper project planner. We will know how many employees we will need to complete the project on time.

What to do when any change occurs: Changing control is one of the important steps in a project planner, because if you don’t take care of this, then your team won’t know what to do if any unexpected and unplanned change hits. In this step, you have to include in your project plan what steps to follow and which person to contact if the change occurs.
